VILLAGE HALL MINUTES - 15TH SEPTEMBER 2011

Members present: Bob Smailes, Sharon Thorpe, Graham and Barbara Cock, Alison Sharpe, Lorna Budge and Steve Thorpe.

The minutes of the last meetings on 18th August 2011 were read and approved

Correspondence received
• Village Hall insurance renewal received £608.41 (£587.98 last year).

Treasurers Report
• Current Account £3,566.45(inc grant £1,600), Petty cash £52.65, Saver £4,385.89 Deposit £25,000(+£205.68 int due).
• Npower have increased the monthly payments from £74 per month to £167. Bob has 2 outstanding queries with them on this. The cost of 1 hours heating will be measured to enable us to review the hourly rental charge. Bob will put notices reminding users to switch the heating off.
• The snowball events raised a total of £465. Bob £300, Alison £75 and Vi £90. Thanks expressed to them all for organising such enjoyable events.

Maintenance, repairs and decoration
• Bob will arrange for the stopcock to be mended, insulating the pipes and guttering replaced. The chimney also needs to be looked at.

Community garden.
• Forms need to be completed to sign off the grant of £1,600 from Northumberland community chest.
• Thanks were recorded to Garry, David and Steve for building the seats and planters
• The seats and planters need to be bedded on the paving slabs – to be arranged. The committee agreed for the planters to go - one in front of the railings in between the vehicle access to the garden and the access on to the patio – one in front of the telegraph pole at the far end of the patio.

Sunday 18th September 2pm-5pm Eshott Hall Treasure Hunt and Cream Tea
• Signs to go at Chevington Moor and Felton Road.
• Dan from Eshott Hall suggested catering for 50 but it was felt that 100 would be better.
• Discussed gazebos (Vi, Lorna and Bob), tables (to pick up from hall), raffle prizes( Bob to buy spirit), coconut shy balls( from the hall). additional signs (Lorna), float (Bob), gift voucher (Steve), children's sweet prizes (Graham and Barbara)
• Teas will be served from 3.30pm.
Saturday 26th November Doxford Hall Dinner Dance
• Although we had previously agreed that tickets weren’t necessary it was felt that we should now provide them to avoid any uncertainty over the date, times and bus booking.

User Groups
• Sylvia from Art group asked if they could have a notice board. Agreed that they should use the current general one.

The date of the next meeting which is the AGM is on Thursday 13th October 2011 at 7pm.
