VILLAGE HALL MINUTES - 12th MAY 2011

The minutes of the last meetings on 3rd March 2011 were read and approved

Correspondence Received
• The Next North Northumberland Village Hall Consortium meeting is on Thursday 19th May, 7-7.30 at South Charlton Village Hall. Sharon and Alison expressed an interest.

Treasurers Report
• Current Account £2127.87, Petty cash £114, Saver £4,303.36 Deposit £25,000(+£205.68 int due). Total £31,744.91
• The latest water bill has increased from £45 to £372.16 due to the water leak over the Christmas period. The insurance company have confirmed that we are covered for this subject to a £250 excess but need to check if this will materially affect our future premiums. Sharon to deal with.
• Bob will obtain the necessary form to add a signatory.
• The money hasn’t come through yet for the election hire charges.

Hall bookings
• Bookings are currently low.
• On 28th May 11 adults plus children from Derbyshire are using the hall to sleepover whilst on a charity bike ride for Help for Heroes. They will use the hall from 7pm to 9am and will give a donation for the rent. The insurance company confirm that we are covered for this. The cost of the heating was brought up but felt to be minimal.
Update on back room
• Minutes of the sub-committee meeting were circulated together with feedback from user groups.
• They are planning to talk to landowners, businesses, gazette and Maureen Middlemiss.
• We agreed that any funds raised will be ring fenced specifically for the back room and will not be used for general day to day costs.
• Graham thanked the subcommittee for their hard work to date.

Maintenance, repairs and decoration
• The burst pipe has been repaired in the kitchen but the stopcock needs to be mended so it can be turned off easily in future and the pipes need to be insulated to prevent further problems. Vi has a long-handled stopcock.
• Matthew has looked at the damaged guttering and will deal with when he has time.
• The earth outside the disabled toilet has been removed from next to the wall which appears to have solved the damp problem. Vi said that John Coombes had offered some wooden beams (which need to be picked up) which could be used as earth retainers.
• The pointing by the chimney needs a little more work – suggested that we dig out some of the loose stuff.
• Thanks were recorded for Matthew whose colleague generously donated 14 square metres of block paving (with another 32 square metres to come). Suggested using this for outside the new back room.
• The front porch needs painting – work party needed.

Community garden.
• Alison said that John will level the ground next week.
• The plan is if the grass is regularly cut it should provide a decent lawn for our purposes. John, Stephen Shanks and Alnwick district council to be asked if they would be agreeable to cutting the grass and the cost.
• The gates and fencing need to be finished. John will give Alison 48 hours notice for her to set up a work party for this.
• 2 rose trees have been donated.
• Alison has obtained a grant of £1,600 from Northumberland community chest which is to be used for raised planters. Vi and Alison will consider this further and let the committee know their suggestions. Thanks were expressed to Alison for her endeavours.

New Back Room
• Steve and Vi met with John Coombes, his wife, Robert Parker and his wife to discuss their fundraising ideas for the backroom which include:-.
• Set a deadline of say 31/12/12 to raise the £30,000/£35,000 needed.
• If we try for a Lottery Grant alongside fundraising we should consider using a professional to prepare the claim which could cost us £2,000/£3,000. Robert to be asked for a recommended professional for us to consider.
• If we don’t use a grant we should start building when we have raised 80% of the funds.
• If planning permission is likely to expire make a start on the building work.
• Suggested 3 major fundraising events in say Autumn 2011, Spring 2012 and Autumn 2012 involving Doxford, Eshott and Guyzance Halls. Awaiting possible dates from him.
• Ideas for events include sponsor a brick, pledge and repay, 3 hall treasure hunt, bbq at the viaduct with a duck race and snowball dinner party.
• In order to visualise the fundraising a thermometer could go outside the village hall starting at £20,000. Alison has asked Eddie and Garry to put their thinking caps on.
• Bob will ask at the bank about opening a separate fundraising account called Acklington Village Development Account

Fundraising
• Afternoon tea to be held Sunday 17th July 2.30 – 4.30. No admission charge.
• BBQ discussed for Friday 19th August from 6pm onwards. Games afternoon and quiz night to be considered at the next meeting

User Groups
• Morag has offered the Art group have a work party to clean the hall which was gratefully accepted.
