MEETING
HELD ON THURSDAY 15TH JANUARY 2009
FOLLOWING THE ANNUAL GENERAL MEETING

Louise Hall continued with a Team meeting
following the AGM. The previous minutes were
read at the AGM and agreed.Matters Arising
From Minutes
• ST informed the meeting that the Village Hall
had agreed to the rent of the Back Room in the
Village Hall being £4 per hour.
• VC produced information on two types of coffee
machines that would be suitable for use in the
Village Hall by any organisation having
requirement for coffee at their events. They are
£172.50 and £258.25, both including VAT and
delivery. Both carry a one year guarantee are
double jugs making about 24 cups of coffee. VC
pointed out that these were for filter coffee
machines and that would mean organisations
wishing to use it would have to purchase
filter/ground coffee instead of the usual
instant. The question was asked about the hire
cost to other groups or suggesting other groups
contribute towards the payment. It was agreed
that the most appropriate action would be to ask
for a donation towards the use. The team agreed
to defer purchase of the coffee machine at
£172.50 until it was needed due to the one year
guarantee.
TREASURER/SECRETARY/SPORTS CLUB REPORTS had
already been given at the AGM and copies are on
file.
Outcome of Previous Events
• 40s/50s Dance Night – 21 attended although
more money had actually been taken. The DVD of
the Glenn Miller Band (purchased from the US
with US$, posted from Switzerland and spoken in
German!) was looked at by all those present.
Those present thoroughly enjoyed the evening and
there were even a couple (LB and husband) in
‘40s’ dress adding to the spirit of the evening.
The hall had been decorated by VC with a 40s/50s
theme and was very effective.
• Pantomime 49 adults and 40 children attended
the Pantomime, which went down extremely well.
It was agreed to book the Bruvvers for another
pantomime this year on Saturday 12th December
but starting at 7pm instead of 7.30pm. (E-Mail
sent and awaiting reply)
Future Events
Ceilidh 7th February 2009 – Hall
booked. BK had received an e-mail from Sam Lord
asking for confirmation of the booking for the
Coquet High School Band. Replied confirming the
booking and asking how they wish payment to be
made (Awaiting reply). The following was
agreed:-
• Ticket prices - £5 adult / £2.50 child under
16
• VC and AS agreed to sell tickets
• Pooled Supper – supervised by LB and AS
• Raffle will be organised by VC
• ST has offered to sit on the door to take
money/sell tickets
• Sports Club will set up the hall the night
before
• Disposable plates/plastic cutlery and
tablecloths/napkins will be sourced by VC and AS
• Publicity i.e. posters/leaflet drop/Pelican
and tickets will be done by BK (72 tickets have
been printed) Posters, leaflets and tickets
given to those distributing pm Sun 18 Jan.
• VC will provide a float each for door sales
and raffle sales.
• Several offers were given to provide raffle
prizes
Annual Village Tidy Up/Spring Clean –
Saturday 28th March 2009 10am to 12 noon.
• AS has offered to contact the Council in
regard to cleaning equipment/protective clothing
and rubbish collection. Publicised in leaflet
drop and JoD will speak with the Parish Council
for offers of help. The Village Hall has been
booked
May Day Table Top Sale – Saturday 2nd
May 2009 10am to 12 noon. The village hall was
booked last year and this has been confirmed.
This has been included in the leaflet and will
be promulgated in The Pelican.
• AS has agreed to go through her usual list of
people normally having a table.
• Tables will be £5 each.
• Admission will be £1 to include
Tea/Coffee/Juice and Biscuit.
• Extra refreshments will be available for sale.
• Further details will be discussed at the next
Team meeting.
Joint Open Day/Fete with Acklington
School
• WR will approach the school to ask if they
would be interested in this joint event for
sometime in June and will report back at the
next meeting.
Northumberland Theatre Company
• BK suggested we could book the NTC for one of
their performances. She had already spoken to
Anna Flood at one of the WI meetings and she had
said that the fee for a first time performance
at a village hall would be half of the takings
and subsequent performances would be
approximately £300. This was well supported and
BK was asked to get further information about
planned performances sometime between June and
October and to confirm fee. E-Mail sent and
awaiting reply.
Any Other Business
• LH offered to make out a questionnaire to be
distributed to all parishioners asking for their
suggestions of what they would like to see
happening in the village. ACT could then
endeavour to arrange things, if possible, which
parishioners could join in with and/or support.
• VC gave a short update on the plans for the
Community Garden, which is being overseen by the
Village Hall. VC also mentioned that ACT gave a
donation of £500 to the Village Hall last year
and asked if it would be more suitable to wait
until funds were needed when the Community
Garden got the final go ahead and work could be
started when ACT could then give a donation to
help out with costs. This was agreed by all
present.
• BK had sent round a leaflet from the Planning
Department which had been sent to her under the
Umbrella of ACT Secretary. After reading through
the leaflet, which asked for feedback, it was
decided that it would be more appropriate to be
handled by the Parish Council.

2009 AT 7.30PM IN THE BACK ROOM OF THE VILLAGE
