ACT MINUTES - 10th MARCH 2011

  Present: Sharon Thorpe Sylvia McClure Violet Currie David Currie Tessa Sayers Barbara King Alison Sharpe Bill Rowntree John Davison and Lorna Budge.

Apologies: June Davison and Bob Smailes.

 Minutes of Previous Team Meeting

  • Barbara has had no feedback about amending any details in the Community Booklet. As there are no supplies of the booklets left, Barbara will make any amendments that she knows should be made and alter the master disc. She will look into the cost of printing the booklets and the Team will decide at the next meeting about numbers.

 Treasurers Report.

  • Violet reported that finances have remained the same since the last meeting. However she did remind the team that the fencing of the Village Hall garden is underway and as previously agreed we will be paying for that shortly.

 Sports Club

  • Sharon and Lorna reported that the sessions are going well at the moment. They will be breaking for Easter on 1st April and probably 28th May for the summer. They are hoping that Luis will be able to run a rock climbing evening near Rothbury as he did last year after the Easter break.

Ceilidh

  • John has printed tickets and posters and these are already on display.

We need to:

ü  Start selling tickets. Lorna has these if any one needs them.

ü  Raffle prizes needed. We have had two donations already.

ü  Sports Club will set up tables on Friday night.

ü  Back room needs cleaning out in order to be used for supper room. It was agreed that this could be incorporated into Village Clean up day the week before.

ü  Team will meet about 7ish at Village Hall on 2nd April.

 Table Top Sale 29th April

  • Alison has collected names for some of the tables. Act will run Raffle, Plants Tombola and Cake stall.

ü  Tombola need prizes

ü  Plants stall and book stall will be run by Steve and Garry. Weather permitting this will be outside. We need donations for this stall. Lorna will write to Acklington Prison and ask whether they can donate any plants as they have been very generous in the past.

ü  Cake stall will need cakes etc for this. Barbara volunteered to run this.

ü  Raffle prizes also required.

ü  Alison has asked Mrs Pedon and Mrs Lamb whether they would organize refreshment stall. They were quite happy to do this.

ü  Sharon thought the children from Sports club might like to run some games at the side of the Hall if the weather is good. 

Village Clean up. - 26th March.

  • Alison has rung the Council and they will deliver equipment to the Hall. Barbara mentioned that people attending should be aware of the fact that their is an awful lot of dog mess around. Alison said this had been mentioned at the Parish Council meeting and the dog warden has been contacted. Bill will ask at the School if they want to get involved in this event. Alison will organize refreshments. As previously mentioned the back room will also be cleaned today.

RBL Poppy Party Time 12th June

  • Group had a discussion about an unusual location to hold the event. One suggestion was to turn the Hall into a billet as it was during the War. John suggested holding it in the pill box along the Coal road. Team thought this was a good idea but will need to put some thought into the logistics.

ü  John will speak to Chris Pickering and ask whether he knows who owns the land that the pill box stands on. Also find out if we can use the coal road for access.

ü  Barbara will ring RAF Boulmer and speak to them about event. They may be able to provide a field kitchen / tents.

ü  Lorna and Alison to make general enquires about whether T.A would be able to provide any of the above.

ü  If we cannot use coal road, field etc perhaps it could all be set up around the Village Hall.

ü  Tessa reminded the team that we were also welcome to use old Vicarage garden if we needed to.

ü  Violet suggested setting up a Poppy Art stall selling poppy note pads, cards etc. Sylvia will take the idea back to the Art group and Bill will ask the school if they would like to get involved.

We will discuss further at our next meeting. 

AOB

  • John told the meeting that Acklington Church is celebrating its 150th anniversary on the weekend of 24-25th September. The Church is hoping that it will be a whole Village affair and that groups within the Village will get involved with the organisation. A photographic display will be held in the Village Hall and as ACT held an exhibition last September they thought that organising this for the Church would be a good idea. John will report this back to the Church committee and give us further details when he has done this. John extended his thanks to the Team.
  • Barbara asked John whether he claims for the ink that he uses to print tickets and posters for events. John said that this was his and June’s contribution towards ACT and he did not want payment for it. The team thanked him for this.
  • Violet asked whether the team would be willing to pay towards central heating in the Hall as the current heaters are not always adequate. Some user groups have stopped using the Hall because of this. The team agreed that this was really the Village Hall domain but if they asked ACT for a donation towards a new heating system we would discuss this. It was agreed that a warm Hall would be an advantage for the whole community.
  • John said he would design a flyer for forthcoming events. This will be photocopied and distributed by the team.
